Event Flowers: A Florist's Guide to Planning Flowers for Your Event

Event flowers are the bouquets and arrangements ordered for a specific occasion: a wedding, an anniversary dinner, a birthday party, a conference, a product launch or a memorial. Good event flowers match the style of the event, survive the full length of it and arrive at the right place at the right time, so planning matters as much as choosing the flowers themselves.

This guide walks you through the decisions a florist makes when preparing flowers for an event: what to put where, which flowers hold up for hours without water, how far ahead to order and how to coordinate everything when you are organising from another country. If your event is in Russia, the final section explains how delivery works with us.

Start with the event, not the flowers

Before thinking about roses or peonies, answer three questions: what kind of event it is, where it takes place and how long the flowers need to look perfect. A two-hour award ceremony in an air-conditioned hall and a full-day summer garden party need very different choices. The venue also dictates scale: a single tall arrangement can fill a hotel lobby, while the same piece would overwhelm a small restaurant table.

Then decide on the role flowers play. At a wedding they are central and personal: the bridal bouquet, table centrepieces, perhaps flowers for parents. At a corporate event they support the brand and the atmosphere: a reception arrangement, stage flowers, bouquets to present to speakers or honoured guests. At a birthday or anniversary, one impressive bouquet for the guest of honour often matters more than decorating every table.

Finally, pick a colour direction. Two or three main colours plus greenery look calm and deliberate. For corporate events, florists often build the palette around the company colours; for weddings, around the dress, the venue and the season.

Which flowers hold up best at events

Event flowers often spend hours out of water, under warm lighting and in dry indoor air, so durability is a real criterion. Roses, chrysanthemums, alstroemeria, carnations, eustoma and orchids such as cymbidium handle long events well. Hydrangeas and peonies are beautiful but more sensitive: hydrangeas wilt quickly without water, and fully open peonies can drop petals by the evening.

For bouquets that will be handed over on stage and then carried around, choose compact, sturdy designs in a box or with a water capsule on the stems. For table arrangements, low centrepieces let guests see and talk to each other; keep them below eye level, roughly under 30 cm, or go very tall on a slim stand so the view stays open.

Avoid strongly scented flowers like lilies, tuberose or hyacinth on dining tables, because their fragrance competes with the food and can bother guests. Lily pollen also stains tablecloths and clothes, so if you love lilies, ask for the stamens to be removed.

How many flowers you actually need

A simple way to plan is to list every point where flowers will appear: entrance, reception desk, stage, each guest table, the head table, bouquets for presentation. Then decide what each point gets. Most events need fewer pieces than people expect: a strong entrance arrangement, centrepieces for the tables and a few presentation bouquets usually create a complete look.

For presentation bouquets, count the people you plan to thank, then add one or two spare bouquets. Unexpected guests of honour, a speaker who joins at the last minute or a colleague who deserves recognition appear at almost every event, and a spare bouquet saves an awkward moment.

Timing: when to order and when flowers should arrive

Order as early as you know the date. Weddings, anniversaries and corporate events are planned weeks ahead, and pre-ordering lets the florist prepare exactly what you want. Popular dates such as 8 March, 1 September, the New Year period and Valentine's Day are especially busy in Russia, so earlier is always better for events around them.

Plan the arrival so flowers come shortly before the event starts, not the evening before. Bouquets for presentation should reach the venue an hour or two in advance and be kept somewhere cool, ideally in water or with their water capsules intact. Name one person at the venue who receives the flowers and knows where they go.

For flowers that must be presented at a precise moment, for example right after a speech, agree with the venue staff who brings the bouquet to the stage. It is a small detail that makes the moment work.

Event flower etiquette

If you are a guest rather than the organiser, flowers are still a welcome gift, but think about practicalities. At a wedding or a big party, the hosts are busy and may have nowhere to put a bouquet; a compact arrangement in a box or a bouquet sent to their home the next day is often more thoughtful. At a jubilee or a performance, handing a bouquet to the honoree in person after the event is a long tradition in Russia.

In Russian etiquette, bouquets for happy occasions traditionally contain an odd number of stems; even numbers are associated with funerals and memorials. This rule matters mostly for smaller bouquets with a countable number of flowers, roughly under fifteen stems. Large mixed arrangements are not counted, but if you choose a small bouquet of roses for a celebration, keep the number odd.

For memorial events, choose calm colours such as white, cream, soft blue or deep red, and modest designs. Bright, festive arrangements look out of place there.

Ordering event flowers in Russia from abroad

We deliver flowers across Russia. Delivery within a city costs 500 RUB; for remote districts and suburbs, the operator confirms the price when confirming the order. For events, the most useful option is delivery at an exact time, plus or minus 30 minutes, or in a time window: 09-12, 12-15, 15-18 or 18-21. You can pre-order 1 to 30 days ahead, and in large cities express delivery takes 1 to 2 hours after confirmation if something is needed at the last minute.

The courier calls the recipient about 15 minutes before arrival, so give the number of the person at the venue who will actually receive the flowers. If they cannot be reached, we agree a second delivery the same day or handing the flowers to a concierge or colleague with your consent. Delivery is anonymous by default, and a card with your text is free; for events, people often write the name of the company or the guest of honour on it.

Payment is online on the site by bank card, SBP or Yandex Pay. To agree the address, timing and card text, or to ask for a photo of the bouquet before it leaves, write to a manager on WhatsApp. For company events specifically, see Ordering Flowers for a Russian Corporate Event From Abroad, and browse ready designs in our Bouquets catalogue. We deliver bouquets across Russia in 1–2 hours.

Yes. You order and pay online by bank card, SBP or Yandex Pay, and agree the details with a manager on WhatsApp. City delivery costs 500 RUB.

Should event bouquets in Russia have an odd number of flowers?
