Birthday Flowers Arrived Incomplete, Defective or With a Bad Smell: What to Do
If your birthday flowers arrived incomplete, damaged or with an unpleasant smell, act within the first hour: photograph the bouquet from several angles, keep the wrapping and the card, and contact the florist who delivered it with the order number and the photos. While you wait for an answer, give the flowers a fresh cut and clean water, because many problems that look serious on arrival are dehydration, not defects.
This guide explains how to tell a genuine fault from transport stress, what each kind of problem usually means, how to describe it so it gets resolved quickly, and how to order birthday flowers to Russia in a way that makes surprises far less likely. It is written for senders abroad as much as for recipients, because when the bouquet goes to a mother in Kazan or a friend in Moscow, it is usually the sender who has to sort things out from a distance.
First hour: document the bouquet before you touch it
The most useful evidence is the bouquet exactly as it arrived. Before you unwrap it, take three or four photos: the whole arrangement from the front, a view from above showing the heads, a close-up of anything broken or missing, and the card or order label. Daylight from a window gives far more honest colours than a ceiling lamp, and a florist can judge freshness from petal edges and leaf colour only if the photo is sharp.
Then unwrap carefully and take one more picture of the stems and the water pouch or foam. Slimy stem ends, cloudy water and a sour smell tell a very different story from a single snapped rose. Note the delivery time as well. If the recipient got the flowers but only checked them in the evening, say so; a bouquet that spent six hours dry on a radiator-warmed hallway table is a different case from one that was wilted at the door.
Keep the wrapping, ribbons and card until the issue is closed. If you are the sender and the recipient is your elderly aunt, ask a younger relative or neighbour to take the photos for her and send them to you, so you can handle the conversation yourself rather than putting her on the phone.
Incomplete bouquet: missing stems, wrong colours or a different design
Start by comparing the delivered arrangement with the picture you ordered from, counting the main flowers rather than the greenery. In a mixed bouquet the filler (eucalyptus, pistacia, gypsophila) often varies between deliveries, and the photo in a catalogue shows a typical version, so a slightly different leaf or a cream tone instead of white is normal. What is not normal is fewer key stems than ordered, roses replaced with carnations, or an extra listed in your order that simply is not there.
Count carefully before reporting. Tightly tied hand bouquets hide stems in the centre, and a 25-rose bouquet can look like 19 from the front. Untie nothing; just look from above, where every head is visible, and count. If the number really is short, write it as a plain fact: ordered 25 red roses, received 21, photo from above attached. A precise message is resolved much faster than 'the bouquet looks smaller'.
For birthdays in Russia, the count also carries meaning. Flowers for the living are given in odd numbers, and even numbers are associated with funerals, so a missing stem can turn 15 roses into 14 and make the gift feel wrong to an older recipient. If that has happened, mention it explicitly when you report the problem, and see Russian Birthday Flower Etiquette: Rules You Should Know for the full set of customs.
Bouquets we can deliver
Defective or damaged flowers: what is fixable and what is not
Drooping heads, soft petals and limp leaves right after delivery are usually water stress. The stems have been out of water for the journey, an air bubble has formed in the stem, and the flower cannot drink. Cut 2-3 cm off each stem at an angle with a sharp knife, remove any leaves below the waterline and stand the bouquet in a clean vase of cool water for a few hours. Roses with bent necks can be revived by wrapping the heads in paper and standing the stems in deep water; our guide Roses Arrived With Bent Necks? Here Is How to Fix Them walks through it step by step.
Other damage cannot be reversed and is worth reporting straight away: snapped stems, crushed heads, brown or black petal edges across many flowers, grey fuzzy mould at the base of rose heads, and leaves that are yellow and papery rather than just soft. Bruising from transport shows as translucent, watery patches on petals; outer guard petals on roses are meant to be imperfect and can simply be pulled off, but bruises deep inside the bloom are a real defect.
Give the bouquet two to three hours in water before you decide. If it recovers, you have a fresh bouquet and nothing to report. If it does not, or if the damage is of the irreversible kind, you will already have the arrival photos plus a 'after rehydration' photo, which makes your case clear. The same logic applies whatever the occasion and to any delivery that arrives looking tired.
A bad smell: where it comes from and when it matters
Fresh flowers can smell green, sweet, spicy or barely at all, but they should never smell sour, swampy or rotten. A bad odour almost always comes from bacteria in water: a pouch of water around the stems that has been sitting too long, leaves left below the waterline, or floral foam that has started to break down. Lift the bouquet out and sniff the stem ends. If they are slimy or dark, the smell is from the stems and the water, not the flowers themselves.
Some flowers naturally smell strong or odd to people who do not expect it. Lilies are heavy and sweet, chrysanthemums have a bitter herbal note, ornamental alliums smell faintly of onion when their stems are cut, and some viburnum and privet foliage has a musty scent. These are characteristics, not defects, although it is fair to tell the florist if a strong lily scent is a problem for the recipient. Mixing daffodils with other flowers without conditioning them first can also spoil the water, because the sap they release shortens the life of everything around them.
If the smell comes from the water, rinse the stems, trim them, wash the vase with hot water and a drop of washing-up liquid and refill it. If the petals or heads themselves smell of decay, there is visible mould, or the smell returns within hours, the flowers were not fresh enough, and that belongs in your report together with photos of the stem ends.
How to report the problem so it is solved quickly
Contact the company that took your order, not the courier, and do it the same day while the flowers are still in the state you are describing. Give the order number, the delivery address, what you ordered, what arrived and what exactly is wrong, and attach the photos. One clear message with everything in it saves a day of back-and-forth, which matters when the birthday is today.
Say what you would like to happen. Most people want the recipient to have a proper birthday bouquet, so it helps to state whether the recipient is at home for the rest of the day, what time suits them and whether a different flower would be acceptable if the original one is not available. Be specific rather than angry; the person reading your message needs facts to act on.
If you ordered with us, write to a manager on WhatsApp with the order number and photos, and we will look at the situation and agree the next steps with you. Keep the bouquet in water and do not throw anything away until the conversation is finished.
How to order birthday flowers to Russia with fewer surprises
Most problems start before the bouquet leaves the workshop, so a few minutes of preparation pay off. Choose from the Bouquets catalogue, and if the exact composition matters (a number of stems, a colour your mother dislikes, no lilies because of the scent), agree it with a manager in advance. You can also ask for a photo of the bouquet before delivery, so you see the actual flowers going to the recipient rather than a catalogue picture.
Timing helps freshness too. In large cities we deliver by express 1-2 hours after the order is confirmed, at an exact time (plus or minus 30 minutes), within the windows 09-12, 12-15, 15-18 or 18-21, or pre-ordered 1 to 30 days ahead. For a birthday, a morning window means the recipient has the flowers all day and can put them in water at once. The courier calls about 15 minutes before arriving, and if the recipient is out, we agree a second delivery the same day or, with your consent, leave the flowers with a neighbour or concierge, rather than leaving them on a doorstep.
City delivery costs 500 RUB; for remote districts and suburbs the operator confirms the price when confirming the order. Delivery is anonymous unless you include your name, and a card with your text is free, so write the birthday message yourself. You can pay online by bank card, SBP or Yandex Pay; details are on Delivery and payment.
Frequently asked questions
How soon should I report a problem with delivered birthday flowers?
The same day, ideally within a few hours of delivery. Photos taken on arrival are the clearest evidence, and a quick report leaves time to put things right while the birthday is still on.
My bouquet looks droopy. Is it defective?
Not necessarily. Most drooping after delivery is dehydration: trim 2-3 cm off the stems at an angle and give the flowers two to three hours in cool water. If they recover, there is nothing wrong; if they stay limp or show mould and broken stems, report it with photos.
Why does my bouquet smell bad?
Usually the cause is bacteria in old water, leaves below the waterline or decaying foam, not the flowers. Rinse and trim the stems, wash the vase and refill it. If the heads themselves smell of rot or show grey mould, that is a freshness problem worth reporting.
The bouquet has fewer roses than I ordered. What should I do?
Count the heads from above, where every flower is visible, then send the order number, the number ordered and received, and the photo. For a Russian birthday, also mention if the missing stem turned an odd number into an even one, as that matters to many recipients.
How can I avoid problems when sending birthday flowers to Russia from abroad?
Agree any important details with a manager before delivery, ask for a photo of the bouquet before it goes out, and choose a morning time window so the recipient can put the flowers in water straight away.
